How to Set Up the Family Communication Block

The Communication Block allows the coordinator to establish time slots during which families can send communications to the facility via the Easy Family App or the web version. Outside of these time slots, sending is blocked: the family can still save the message as a draft and send it later.

The function can be activated or deactivated at any time:

  • Deactivated (default setting): families can write and send communications without time limits.

  • Activated: families can send communications only on the days and during the time slots you have configured.

Note: the block only applies to messages sent from family members to the facility. The coordinator and educators can continue to send communications to families at any time.

Note: the configuration applies to the location you are in. If you manage multiple locations, you need to set the block in each of them.


Where to Find It

The setting is located in the coordinator side (light blue menu), within the location:

Settings → Communications


How to Activate the Communication Block

Step 1 – Open the Communications Section

  1. Access the management system with a coordinator account and enter the desired location.

  2. In the left menu, click on “Settings” to open the submenu.

  3. Click on the “Communications” option.

Step 2 – Activate the Time Limit

On the Communications page, find the option:

“Limit family messages to school to specific times”

By default, it is deactivated. Click on the toggle switch to the right of the option to activate it: it will turn green.

The explanatory text will appear:

“When activated, family members can send messages to the school only during the specified time slots for each day”

and the Quick Presets section and the list of days of the week will open.

Step 3 – (Optional) Apply a Quick Preset

The “Quick Presets” section applies a default configuration to weekdays (Mon–Fri); you can still modify it later. Three options are available:

  • “School Hours” — Mon–Fri · 07:00–17:00

  • “Morning Only” — Mon–Fri · 07:00–13:00

  • “Extended Hours” — Mon–Fri · 07:00–19:00

Click on the card of the desired preset: the time slots for weekdays will be automatically filled in. You can then customize them day by day.

Step 4 – Set Time Slots for Each Day

Under the presets, you will find the list of days (Monday, Tuesday, Wednesday …). Each day shows the set time slot on the right and an arrow to expand it.

To manage the time slots for a day:

  1. Click on the day (or the arrow) to expand it: you will see the list of already existing time slots.

  2. To add a time slot, click on “+ Add Time Slot”.

  3. In the “Add Time Slot for [day]” window, fill in the two mandatory fields:

    • “Start Time” — the time from which families can start sending communications.

    • “End Time” — the time after which sending is no longer allowed.

  4. Click on “Save” to confirm the time slot (or “Cancel” to not add it).

  5. To remove a time slot, click on the trash icon next to the time slot itself.

Tip: you can enter multiple time slots on the same day (for example, one in the morning and one in the afternoon) by repeating “+ Add Time Slot”. A day left without any time slot does not allow families to send communications on that day.

Important: If you activate the block but do not enter any time slots, parents will NOT be able to write at all, thus completely blocking the communication tool.

Step 5 – Save the Configuration

After setting the preset and the time slots, click on “Save” to make the block effective.

Important: changes to the time slots become active only after pressing “Save”.


How to Deactivate the Communication Block

To remove the limit and allow families to write at any time:

  1. Go to Settings → Communications.

  2. Click on the toggle switch to deactivate it.

  3. If prompted, click on “Save” to confirm.

With the toggle deactivated, families can again send communications without time restrictions.


What Families See

When a family member tries to write a communication outside the allowed time slots, both from the Easy Family App and from the web version, a warning appears in red on the message creation screen:

“Sending messages is not allowed at this time. You can still save your message as a draft and try again later.”

The family member can still fill in the message (recipients, subject, text, attachments) and use the “Save Draft” button to keep it, so they can send it when they return to an allowed time slot.

Frequently Asked Questions

If I deactivate the block, can families write at any time? Yes. With the toggle deactivated, there are no time restrictions.

Can I set different times for each day of the week? Yes. Each day has its own time slots, which you can add, modify, or remove individually.

Can I enter multiple time slots on the same day? Yes. With “+ Add Time Slot”, you can create multiple intervals on the same day (for example, morning and afternoon).

What happens if a family member tries to write outside of hours? They see the red warning and cannot send, but they can save the message as a draft and send it later.

Does the block also apply to the coordinator and educators? No. It only concerns communications sent from family members to the facility.

Are the changes immediate? They become effective after pressing “Save”.
