What is the snack product and how to use it

The snack product is a feature of the Easy.School management software that interacts with the daily snack registration performed by educators. It is designed to charge a fee for each snack consumed in a post-paid manner. For example, if you want to charge a fee of 2 euros for each snack, the software can automatically calculate the snacks consumed during the previous month and directly insert them into an invoice received or a proforma.

How to create the snack product

1. Access the product administration page

• Go to the Administration → Products menu.

• Click on the New button at the top right.

2. Configure the product

• Product type: In the first dropdown menu select Snack product.

• Internal product name: Enter a descriptive name that will be visible only to you (e.g., “Snack”).

• Short name: Enter a name that will be visible on the invoice (e.g., “Snack” or “Snack”).

• Description: This is optional; generally, for the snack product, no student or family variables are needed.

• Amount: Enter the cost of the snack, for example, 2 euros.

• VAT rate: Select the applicable VAT rate and specify whether the entered amount includes VAT or not.

• Reference period:

• Previous: Shows the reference period on the invoice (first and last day of the previous month).

• Hidden: Does not display the reference period on the invoice.

Using the snack product

The snack product can be used in two main modes:

1. Manual

• When creating a manual invoice, select the snack product and manually enter the quantity of snacks consumed by the child.

2. Automatic via package

• Create a package and include the snack product.

• The software will automatically calculate the number of snacks consumed in the previous month and insert them into the invoice associated with the student.

Difference between snack product and consumable product

• Snack product:

Used for invoicing in post-paid mode (after consumption).

Example: Invoicing the snacks consumed the previous month.

• Consumable product:

Used for invoicing in pre-paid mode (before consumption).
