The Presence product is a feature of the Easy.School management software that interacts with the daily attendance registration carried out by educators. It is designed to charge a fee for each recorded attendance in a post-paid manner. For example, if you want to charge a fee of 10 euros for each attendance, the software can automatically calculate the number of attendances recorded during the billing period and generate the total amount in the invoice.
How to create the Presence product
- Access the product administration page
- Go to the menu Administration → Products.
- Click the New button at the top right.
- Configure the product
- Product type: In the first dropdown menu select Presence Product.
- Internal product name: Enter a descriptive name that will be visible only to you (e.g., “Presence”).
- Short name: Enter a name that will be visible on the invoice (e.g., “Daily Presence”).
- Description: This is optional; generally, for the Presence product, student or family variables are not required.
- Amount: Enter the cost per attendance, for example, 10 euros.
- VAT rate: Select the applicable VAT rate and specify whether the entered amount includes VAT or not.
- Reference period:
- Previous: Shows the reference period on the invoice (first and last day of the previous month).
- Hidden: Does not display the reference period on the invoice.
Using the Presence product
The Presence product can be used in two main ways:
- Manual
- When creating a manual invoice, select the Presence product and manually enter the number of attendances recorded by the student.
- Automatic via package
- Create a package and include the Presence product.
- The software will automatically calculate the number of attendances recorded during the reference period and generate the total amount in the invoice associated with the student.
Example of operation
If a student has made 20 attendances in a month and the cost per attendance is 10 euros, the software will automatically calculate:
20 attendances x 10 euros = 200 euros
This amount will be reflected in the invoice.
